Job Description
The Administrative Assistant will provide general administrative support. The Administrative Assistant will be required to work on-site 5 days a week (M-F).
(50%) Assist with Staffing and Coordinate New Hire Orientation
• Act as the main point of contact for new hires
• Manage the Applicant Tracking System; hire in new team members, process new hires and promotions, close out candidate applications
• Maintain interview scheduling for candidates
• Coordinate new hire orientation and communicate logistics to new hires; background check/MVR results, schedule time, new hire paperwork to complete, etc.
• Track and maintain new hire documents
• Maintain new hire orientation sign-up
• Process all rehire checks in ATS
(15%) Provide Administrative Support and Assistance
• Manage phone calls and correspondence (e-mail, letters, packages etc.)
• Support the market team and Director in administrative tasks and programs
• Prepare expense reports for Director
• Order supplies, equipment, and other materials for the department, stores and office
• Office facilities and general office management
• Compile reports, maintain market rankings and achievers’ program
• Assist in updating and finalizing agendas, office maps and presentation materials
• Help coordinate facilities maintenance with stores and district managers
(10%) Coordinate Meetings, Events, and Travel
• Assist in scheduling/coordinating travel and travel itineraries for Director – Corporate Operations and market visitors
• Logistical coordinator for market rallies, retreats, meetings and other events
• Coordinate market event calendars and schedule
• Organize, coordinate and communicate department meetings, both onsite and offsite, including accommodations and meeting rooms, meal services, materials preparation and coordinating required follow up for action items
• Coordination of social activities; team member birthdays, anniversaries, team vacation parties, etc.
(25%) Assist with Team Member Compliance
• Maintenance of compliance activities including new hire paperwork, MVR, DEA, labor compliance and background checks, etc.
• Partner with the compliance team to request adjudications
• Assist with HR and payroll administrative support for market
• Provide store team members support for lock outs, active team members MVRs and troubleshooting TM clock-in problems
