E-Rostering Manager

Location: Shoreditch, East London

Proposed start date: ASAP

Duration: 3 months with the potential to be extended

Band: 8A

Pay Rates:

£26.50 - £29.50 PAYE per hour

£27.50 - £30.50 PAYE Inclusive of holiday pay per hour

£28.50 - £31.50 umbrella per hour

All rates are based on skills and experience

Working Days and Hours: Monday to Friday, 9am – 5pm

Overview:

The e-Rostering Manager will provide day-to-day management of the e-Rostering system whilst supporting the team to delivery the best rostering practice.

Duties:

Support the initiation, development, implementation and review of guidance, frameworks and policies in support of rostering and workforce management within the Trust.

Provide scrutiny of existing processes across the Trust for maintaining quality information within the systems to ensure accurate and useful workforce information is being collated.

Support and enable internal and external quality improvement activities associated with rostering across the Trust and demonstrate how good practice rostering leads to efficiency improvements.

Plan, develop and evaluate methods and processes for gathering, analysing, interpreting and presenting data and information.

Lead on the introduction and maintenance of change control processes, both in relation to the software use as well as any supporting documentation within the Trust.

The post holder will take the lead for maintaining the Healthroster system in the Trust to provide assurance that controls are in place regarding workforce supply and demand.

Maintain a positive relationship with ICT services in the Trust with regards to the maintenance, management of the systems on the Trust servers, and use of the system on Trust mobile devices.

Analyse performance of activity in relation to performance targets and strategic objectives.

Monitor e-Rostering practices, developing improvement plans and work with stakeholders to achieve improvement in effective e-Rostering.

Provision of e-Rostering information, advice and support to the Heads of Nursing and executive teams. Developing and adapting reporting requirements to respond to changing organisational needs.

Take a lead on Identifying, creating, analysing and circulating temporary staffing reports and discuss reports taken from systems which have an impact on safe and effective staffing of clinical areas within the Trust.

Responsible for responding to requests for information from a variety of sources, e.g. CQC, Freedom of Information, Internal Audit, NHSI/E.

Log complex system issues and product development requests with Allocate using the relevant portals.

Working with managers to develop rosters which suit department needs and are within the established budgets.

Advise and communicate process changes required for effective e-Rostering practices and achieving sustained performance.

In conjunction with the Associate Director of HR Operations assume responsibility for ensuring the contract for an e-Rostering system is maintained, completing any relevant applications for funding streams in a timely manner to ensure no interruption in service.

The post holder will provide line management support for the e-Rostering team, including day to day management and following the Trust’s appraisal schedule.

Schedule relevant system upgrades, oversee testing of features and implementing new features that will benefit the Trust, running user acceptance testing where needed and communication to users of changes.

Assist the Head of Medical HR with rostering related projects, attending Medical HR rostering related meetings for the organisation.

Ensure the safe delivery of accurate information to payroll on a monthly basis.

Contribute to the definition of financial resources required to achieve the Directorate objectives as part of the budget setting process.

Essential Experience:

NHS Experience

Experience of an electronic rostering system, preferably Allocate’s Healthroster system, Version 11

Experience of dealing with clinical rosters

Experience of managing staff

Experience of engaging with end users

Understanding of the current agendas impacting on rostering and the NHS workforce

Understanding of the differences between Agenda for Change, NHS Deal, 2016 Junior Doctors contract and the Consultant terms and conditions

Able to analyse and interpret complex information and present it in a variety of formats

Able to plan and deliver specific projects and programmes with a focus on results

Able to identify areas of improvement in the current systems and develop and implement plans to improve staffing systems

Able to present complex information in a way that is understood, varying presentation techniques as appropriate.

Able to build good working relationships with line managers, HR colleagues and external bodies to achieve results

Desirable Experience:

Prince 2 qualification

Masters degree
